Welcome to My Document Office. These Terms & Conditions ("Terms") govern your use of our website and services, including apostille/authentication processing and remote online notarization (RON). By submitting a request, uploading documents, or scheduling a service, you agree to these Terms.

1. Services Provided

My Document Office offers:

  • Apostille and authentication filing services for documents used internationally
  • Remote online notarization (RON) services
  • Related document review, preparation, and secure handling

We act as a service provider and, where applicable, a commissioned notary public. We are not a government agency and do not control the decisions, timelines, or requirements of any Secretary of State, federal office, embassy, or consulate.

2. Client Responsibilities

You agree to: 

  • Provide accurate, complete, and truthful information about your document and its intended use
  • Confirm the destination country and purpose of the document to the best of your ability
  • Provide valid, government-issued identification when required for notarization
  • Ensure any document you submit is genuine and that you have the legal authority to have it notarized and/or apostilled

3. Eligibility Is Not Guaranteed in Advance

Some documents notarized remotely may not qualify for apostille or authentication, depending on the notary's commissioning state and the receiving country's requirements. We will confirm eligibility with you before completing a remote notarization intended for apostille use, but final acceptance by any government office or foreign authority is outside our control.

4. Fees and Payment

  • Fees for services are as listed on our website or as quoted directly to you, and are due at the time of booking or request submission unless otherwise agreed.
  • Government filing fees, courier/shipping fees, and expedited processing fees (where applicable) are separate from our service fees and are the client's responsibility.
  • Prices are subject to change; the price confirmed at the time of your request will apply to that request.

5. Cancellations and Refunds

  • My Document Office's service fee covers time and labor for review, preparation, and processing, and is generally non-refundable once work has begun.
  • If a document is rejected by a government office due to an error on our part, we will correct the error at no additional charge or issue a partial refund.
  • If a document is rejected due to inaccurate information provided by the client, incomplete documentation, or a change in requirements outside our control, no refund will be issued for work already completed.

6. Turnaround Times

Estimated turnaround times listed on this site are approximate and depend on third-party government office processing times, which are outside our control. We are not liable for delays caused by government offices, couriers, postal services, or circumstances beyond our reasonable control.

7. Remote Online Notarization

  • All notarizations are conducted via secure, recorded video sessions in compliance with applicable state law.
  • You must have valid government-issued photo identification and complete any required identity verification steps.
  • Some documents may not be eligible for remote notarization due to state-specific witnessing or execution requirements; we will notify you if this applies to your document.

8. No Legal Advice

As stated in our Disclaimer, My Document Office does not provide legal advice. Nothing in these Terms or in the course of our services creates an attorney-client relationship.

9. Limitation of Liability

To the fullest extent permitted by law, My Document Office's total liability for any claim arising from our services shall not exceed the amount paid by you for the specific service giving rise to the claim. We are not liable for indirect, incidental, or consequential damages, including but not limited to rejection of a document by a third party or delays caused by government processing.

11. Changes to These Terms

We may update these Terms from time to time. Continued use of our services after changes are posted constitutes acceptance of the updated Terms.

12. Governing Law

These Terms are governed by the laws of the Commonwealth of Virginia, without regard to conflict-of-law principles.

Remote online notarization is available regardless of your location. Apostille eligibility for remotely notarized documents depends on the notary's commissioning state. We'll confirm this with you before scheduling.
